General Policy Statement
As a non-profit organization, CIC Charity relies on donations to fund our charitable missions. We appreciate every contribution and are committed to transparency and ethical fundraising. Due to the immediate application of funds to our charitable programs and administrative costs, all donations are generally non-refundable.
However, we understand that errors can occur. This policy outlines the limited circumstances under which a refund may be considered.
Conditions for a Refund
A refund request may only be considered under the following limited circumstances:
- Error in Donation Amount: The donor made a verifiable error in the amount entered (e.g., intended to donate but accidentally entered ).
- Duplicate Donation: The donor made an accidental duplicate donation (e.g., clicked the submit button more than once, resulting in two or more identical charges).
- Unauthorized Use: The donation was made using a payment method without the cardholder’s or account owner’s authorization.
All requests must be submitted within 14 days of the original donation date.
How to Request a Refund
To request a refund, the donor must contact us directly via email with the subject line “Refund Request.”

The request must include the following information:
- Full Name of the Donor.
- Date(s) of the Donation(s).
- Amount of the Donation(s).
- Transaction ID (if available on your donation receipt).
- Detailed Reason for the Refund Request (must fall under one of the Conditions for a Refund listed above).
We reserve the right to request additional documentation or proof before processing a refund.
Review and Processing
- Review: All refund requests will be reviewed by CIC Charity and decisions will be made on a case-by-case basis. We will notify the donor of our decision within 14 business days of receiving the full request.
- Method: If a refund is approved, it will be processed using the original method of payment (e.g., back to the credit card or bank account used). We cannot issue refunds to a different card or account.
- Timing: Once approved, please allow 14 business days for the refund to be processed by our system and an additional 7 to 30 business days for the funds to appear in your account, depending on your financial institution.
Recurring Donations
In the case of recurring donations, a donor may cancel future donations at any time by contacting us or managing their donor profile online. However, no refunds will be issued for recurring donations that have already been processed prior to the cancellation request.
